The resort coordinator works for the hotel; we work for you. While they handle the day-of catering and setup, HOTE manages the "everything else": the contract negotiations, the guest travel headaches, the property comparisons, and the overall logistics. Think of us as your project manager and the resort coordinator as the venue manager.
To secure the best dates—especially for popular Saturday nights or boutique hotel buyouts—we recommend starting 12 to 16 months out. This gives your guests plenty of time to save and book their travel, often resulting in a higher "yes" rate for your RSVPs.
Even at all-inclusive resorts, there are three common extras:
- Outside Vendor Fees: If you bring a photographer from home, some resorts charge a fee for them to work on-site.
- Decor and Entertainment Upgrades: Standard packages are lovely, but "Pinterest-worthy" floral arches or custom lighting usually come at an additional cost.
Legal Fees: If you want a legally binding ceremony abroad (vs. a symbolic one), there are often translation and paperwork fees. We flag these early so there are zero surprises on your final invoice.
Traditionally guests cover their own airfare and accommodations, while the couple hosts the wedding events (reception, welcome dinner, etc.). To make this easier on your loved ones, HOTE Travel negotiates discounted group room blocks and manages each guest reservation, providing flexible payment options and customization. This ensures your guests get the best rate possible without you having to manage their credit card info or flight details.
In many cases, yes. While you are investing in travel, the "luxury discount” in destinations like Mexico and the Caribbean is significant. A $20,000 budget that might only cover a basic ballroom and catering in a major U.S. city can often secure a private beach-front terrace, high-end floral design, and a multi-course gourmet dinner at a luxury resort.
